    High Probability Advisors provides investment solutions to a wide variety of clients  who need effective, efficient stewardship of their long-term assets. Our typical clients are high net worth individuals, multi-generational families, not-for-profit endowments/foundations, businesses and retirement plans.     Responsibilities

    The main focus for this position is to assist in all aspects of client service to include but not limited to answering client inquiries, setting up meetings between clients and advisors and contacting clients and the custodians of the client’s assets with information regarding their accounts or investments.  You may also be involved in updating, maintaining or accessing client accounts, transactions and/or documents. You will be responsible for ensuring that all necessary paperwork has been received by the client, reviewing it to ensure accuracy and completion filed properly.  A Client Service Administrator should be detailed and service-oriented.

    Qualifications

    Required:

    • Proficient in Microsoft Office Suite programs, especially Word, PowerPoint & Excel
    • Adept at research practices
    • Integrity, ethics, and confidentiality are a must
    • Understanding of financial markets and trends
    • Basic mathematical skills
    • Customer service experience
    • Ability to professionally and effectively handle communications with internal personnel as well as external clients – both via phone or in person; taking detailed messages as needed
    • Assist in the preparation, proofreading, editing, and processing of documents including, but not limited to, correspondence, financial statements, client related correspondence, etc. in order to produce error-free work
    • Process client reports and mailings as necessary
    • Support assigned Financial Advisor/Client Service Representative(s) as necessary, with time and expense entry, travel arrangements, billing, sales reports, margin reports, and other needs as requested
    • Organize, update, and maintain calendars for assigned Financial Advisor/Client Service Representative(s)
    • Coordinate logistics for meetings, conference calls, and transcription of meetings as necessary
    • Assist with preparation of client proposals as necessary
    • Develop and maintain the technological skills required to function at peak efficiency
    • Assist with mailings as needed including, but not limited to, UPS, Fed Ex, Certified mail, incoming or outgoing mail
    • Adhere to the highest degree of professional standards and strict client/firm confidentiality
    • Knowledge of typical office methods and procedures, filing, telephone techniques, and office equipment, as well as business English usage, spelling, grammar, and punctuation
    • Superior level of accuracy in work and attention to detail

    Preferred:

    • Prior experience in a financial institution
    • Financial or insurance licensing
    • 4+ years of relevant experience
    • Minimum of a college degree or HS diploma with equivalent work experience
    • Strong customer service, verbal and interpersonal skills
    • Excellent time management skills, including planning and prioritizing
    • Ability to multi-task and take direction
    • Ability to work as part of a team as well as independently
